Acumatica ERP offers an unlimited user licensing model  and this is the best way to run your business.  This means at any time, you can give access to your employees, customers, vendors, consultants—anyone!  If your current system requires individual licenses for each user then you already know the pain of dealing with them.  There are mainly two kinds of user licensing models:  concurrent or named-user.   Concurrent licensing – your user list can be long, but only a certain number of these can access at any one time.  Named User Licensing – Only a limited list of unique users, by name can access at any one time.

But why is unlimited user licensing a great concept?   You can give the precise information to those who need it, when they need and how they need it.  Just let them sign in.

Per-User licensing Negatives:

  • Companies must limit access based on number of users licensed.
  • Must contact the software publisher to add users – this is almost always painful
  • Increased costs for the users added
  • Takes time to process the new licenses
  • Usually licenses are purchased in “blocks” of users, say 10, 20, 50 extra users to allow for “future growth”.  This means there is a period of time when there are excess licenses”.
  • Not growth friendly – Add a new division; Acquire another company; Add a department – user licensing must be purchased in each of these instances
  • User access growth must be predicted or possible lock-outs happen
  • More reports must be created – Pressure on external reporting goes up dramatically for users who need information but cannot access the system.
  • External systems typically are required to accommodate users or key customers or vendors who cannot access the system.
